    Cancellation Policy

Madhya Pradesh State Tourism Development Corporation Ltd. · Last updated: 13 August 2026

This Cancellation Policy sets out the conditions under which a reservation created through MPT Central Reservations may be cancelled or modified, the consequences of each type of cancellation, and the procedure to follow. It should be read together with the Refund Policy and the Terms and Conditions, which govern the money consequences of a cancellation.

    1. Scope of this Policy

This Policy applies to every reservation confirmed through this website across all MPT resorts, including beach and Narmada Valley resorts, hill and lake retreats, heritage and caves properties, wildlife and nature lodges, and pilgrimage and city stays. Where a specific room card or promotional rate states different cancellation terms at the time of booking, those terms prevail for that reservation and are printed on your voucher.

    2. Free Cancellation Window

A reservation may be cancelled free of charge when the cancellation is recorded at least twenty-four hours (one day) before the scheduled check-in date and time at the property. The full amount received is then refunded under the Refund Policy.

The check-in time used for this calculation is the standard 2:00 PM check-in unless a different time is printed on the voucher. All timings are Indian Standard Time.

    3. Late Cancellation

A cancellation recorded within twenty-four hours of the scheduled check-in is a late cancellation. Late cancellations are non-refundable and the full booking amount is forfeited, because the room can no longer be released to another guest in time.

Where a guest can demonstrate a medical emergency, bereavement or a transport cancellation by an operator, MPT may, at its discretion and on production of documentary proof, offer a date change instead of forfeiture. Such relief is exceptional and is not a right.

    4. No-Show

Where a guest does not arrive on the scheduled check-in date and has not cancelled beforehand, the reservation is treated as a no-show. The room is released after the property’s cut-off time on the arrival date and the full amount is forfeited. Subsequent nights of a multi-night reservation are also released unless the guest informs the property of a delayed arrival in advance.

    5. Cancellation by MPT

MPT may cancel a confirmed reservation where the property becomes unavailable due to maintenance, damage, statutory closure, requisition by a government authority, or a safety hazard. In every such case we will, in order of preference:

    • Offer an equivalent or superior room at the same property at no additional cost;
    • Offer an alternative MPT property in the same region for the same dates;
    • Offer a date change with no amendment fee; or
    • Refund the full amount received, without deduction.

    6. Modification of a Booking

    6.1 What can be modified

Dates, room category, meal plan, number of guests and the lead guest’s contact details may be modified, subject to availability. The property itself cannot be changed; that requires a cancellation and a fresh reservation.

    6.2 Notice and charges

Please request modifications at least forty-eight hours before check-in. Where the revised dates or category carry a higher tariff, the difference is payable before the amendment is confirmed. Where they carry a lower tariff, the difference is refunded under the Refund Policy.

6.3 Effect on the cancellation window

An amended reservation is governed by this Policy with reference to the new check-in date. Repeated amendments made solely to postpone a cancellation deadline may be declined.

    7. Group and Bulk Reservations

Reservations of five rooms or more, and reservations made for conferences, weddings and institutional groups, follow the terms of the written group confirmation issued by Central Reservations. In the absence of a written variation, the following applies:

    • Cancellation more than fifteen days before check-in: full refund of the amount received.
    • Cancellation between fifteen and seven days before check-in: fifty per cent of the tariff is retained.
    • Cancellation within seven days of check-in: no refund.
    • Reduction of room count by more than twenty-five per cent is treated as a partial cancellation of the reduced rooms.

    8. Peak Season and Special Events

During declared peak periods, long weekends, major festivals and special events, individual room cards may display stricter cancellation terms, including longer notice requirements or a non-refundable rate. These terms are shown before payment and printed on the voucher, and they override Clause 2 for that reservation.

Always check the cancellation line on your voucher. The voucher is the authoritative record of the terms that apply to your specific stay.

    9. Force Majeure Cancellation

Where travel or the stay is prevented by natural disaster, flood, cyclone, landslide, epidemic or pandemic, fire, civil unrest, strike, or an order of a government authority, the reservation may be cancelled without penalty. The guest may elect a date change with no amendment fee, a credit valid for twelve months from the original check-in date, or a refund of the amount received.

Wildlife properties may also be closed under directions of the Forest Department during monsoon or breeding periods; such closures are treated as force majeure for the affected dates.

    10. How to Cancel

    • Open Track Booking on this website and enter your Booking ID and PNR.
    • Select the reservation and choose the cancellation option, then confirm the verification code sent to your registered mobile number or email.
    • Alternatively, email crs@mptourism.online from the address used for the booking, quoting the Booking ID and PNR, or call +91 9584192992.
    • A cancellation acknowledgement is issued by email; keep it for your records as it carries the cancellation timestamp.

A cancellation is effective only when recorded by our system and acknowledged. A request left on voicemail, sent to a personal number, or made to resort staff who are not authorised to amend online reservations does not constitute a valid cancellation.

    11. Verification of a Cancellation Request

To protect guests against unauthorised cancellations, we verify each request against the registered contact details of the booking and may issue a one-time verification code. Where verification fails, the request is held and Central Reservations will contact the registered guest directly.

    12. Effect of Cancellation on Refunds

Once a cancellation is recorded and found eligible, the refund is calculated and released under the Refund Policy, ordinarily within two to seven working days of approval, to the original payment instrument. Where a coupon was applied, the refund is computed on the discounted amount actually paid.

    13. Denied Check-in and Termination of Stay

Check-in may be denied where valid original photo identification is not produced, where occupancy exceeds the confirmed limit, or where entry would breach law or safety requirements. A stay may be terminated where conduct endangers guests, staff, wildlife or property. In these situations the reservation is treated as a no-show or a guest-initiated cancellation, as applicable, and no refund is payable.

    14. Grievance Redressal

Disagreement with the application of this Policy may be escalated to Central Reservations, MPT, Apeejay House, 3rd Floor, Dr. V. B. Gandhi Marg, Fort, Mumbai 400001, quoting the Booking ID and PNR. Escalations are acknowledged within forty-eight hours and resolved within thirty days.
